Organizational Structure of OSDTDA
OSDTDA is a private, limited liability company registered with the State of Oklahoma. As such, OSDTDA is managed by a Board of Directors, and the Board is bound to operate under the terms of the Operating Agreement and its Bylaws. The Board of Directors is made up of the following positions:
The Board is composed of individuals around the state with a background in dance teams and studios. Board members are not employees of OSDTDA and only receive nominal compensation in exchange for completing their assigned job duties. No Board Members are provided a salary and/or benefits as a result of serving in their position.
As a private limited liability company, OSDTDA does not receive any state or federal funding. Instead, OSDTDA operates on the money it earns through competitions. All monies charged by OSDTDA are either used to pay for normal business related expenses, such as office supplies, IT services, accounting and legal services, and taxes, or are reinvested back into the competitions and events hosted by OSDTDA. Competition expenses include, but are not limited to, venue fees and floor rentals, music and video equipment, DJ services, music licensing fees, floor rental, judges’ pay, judges’ travel and lodging accommodations, food for judges, staff, and volunteers, office supplies, trophies and medals, printing expenses for score sheets and schedules, and the design and printing of state shirts and programs.
BOARD RULES AND POLICIES REGARDING RELIABILITY AND ACCURACY OF RESULTS AND FAIRNESS OF COMPETITIONS
OSDTDA is committed to providing fair and accurate competitions in all regards. In order to meet these goals, OSDTDA has created strict requirements for OSDTDA Board Members. For the following Board positions, the person serving may not coach or choreograph for any dance team or studio and may not be related to an immediate family member of any dancer, coach or choreographer for a dance team or studio: President, President of Competitions, Judging Chairperson, Scheduling Chairperson, Solo/Ensemble Chairperson, and State Chairperson.
Similarly, OSDTDA has promulgated Bylaws that protect the accuracy and reliability of competition results. Board Members who coach or choreograph for any dance team or studio or who are related to an immediate family member of any dancer, coach or choreographer for a dance team or studio are strictly prohibited from the following activities:
During all competitions, OSDTDA maintains two distinct staff rooms. The “All Staff Room” is for all staff members and volunteers to take breaks, eat meals, and keep personal items. The “Judges’ Staff Room” is utilized by judges to take breaks, eat meals, and keep personal items. Additionally, the Head Penalty Judge maintains a work space in the Judges’ Staff Room, which allows the Head Penalty Judge to conduct a detailed video review for those teams who were flagged by the penalty judge staff for potential penalties during their performance. Finally, all scores are tabulated in the Judges’ Staff Room by those Board Members without affiliations to any team (see the list above for the specific positions). After tabulation, score sheets are stored and maintained in the Judges’ Staff Room, and no Board Members, other than the tabulators, or volunteers have access to the same. Board Members who coach, choreograph, or are related to an immediate family member of any dancer, coach, or choreographer for any team or studio do not have access to or participation in the competition adjudication process at any time.
These procedures were implemented to eliminate any potential bias or perceived bias in the results of any OSDTDA competition, and the OSDTDA Board President and President of Competitions continually assess potential updates, changes, and additions to these procedures to ensure all competitions are neutral and fair to all dancers.

- Creating or participating in the creation of competition schedules and the order of competitions;
- Calculating or tabulating scores for any competition;
- Organizing, sorting, or otherwise handling score sheets once they have been completed;
- Creating or maintaining the scoring system program;
- Selecting or participating in the selection of judges for any competition, including organizing travel accommodations for any judges;
- Mingling, talking, communicating, or otherwise interacting with any judges at any competition (with the exception of allowed emails for rules/penalty questions to the Head Penalty Judge, as is provided in the Competition Packets);
- Managing and/or coordinating facilities for competitions, including any communications with facility managers regarding special accommodations
- Participating in the grievance process;
- Maintaining the database of coaches/teams or membership renewals;
- Managing and maintaining competition registrations, including information and details regarding categories and divisions in which teams or dancers have registered; and
- Communicating with coaches via official OSDTDA emails and correspondence.
